ADMINISTRATIVE ASSISTANT 2, Program in Art, Culture, and Technology (ACT), to provide administrative and secretarial support, assisting the director and five or six faculty members. Will provide significant support to the director, including preparing professional correspondence, calendar management, arranging travel, and performing other duties as needed in support of the director's initiatives. Will also prepare faculty search, promotion, and tenure cases; coordinate the program's course schedule and advertise classes; and aid in the organization of graduate reviews and thesis exhibitions and in the collection and distribution of information related to the thesis process. Other responsibilities include providing guidance to teaching assistants on administrative matters; occasionally preparing financial transactions, e.g., purchasing and travel reimbursements; serving as liaison to department headquarters, Institute offices, and other areas at MIT; assisting with special projects; providing event and meeting support; managing the faculty review of graduate applications and information requests from prospective applicants; and providing routine office support and backup as needed.
Job Requirements
REQUIRED: high school diploma; three years of office experience; excellent organizational, interpersonal, analytical, problem-solving, critical-thinking, writing, and proofreading skills; sensitivity to organizational dynamics; advanced-level proficiency with SAP, Word, PowerPoint, Excel, FileMaker, and Outlook; willingness to learn new programs and software; and discretion and good judgment with confidential information. Must be able to function autonomously under pressure in a highly visible position that is subject to frequent interruptions; work as part of a team; organize, set priorities, and multitask; deal tactfully with faculty, students, and staff; and adapt to changes in work requirements.
PREFERRED: MIT experience; knowledge of or a background in contemporary art; and experience with Word Press, Photoshop, and InDesign.
